Why a software comparison matters before you sign

Our employee app comparison 2026 puts teamly up against 16 vendors, assessed on 10 criteria: GDPR, server location, white label, ISO 27001, shift planning, purchase option, suitability for mid-sized companies, deskless-worker focus, UX and support. All information as of July 2026.

At first glance the products look alike: news feed, chat, shift plan, documents. So the comparison often comes down to the impression left by a demo. That is exactly where the points that get expensive later slip through.

Most tools were built for desk jobs. In care work, on a building site or at a checkout the rules are different: no work computer, often no company email address, little time and no reliable network everywhere. An app that has to work there must be usable without training and still show something offline.

Then there are the questions that rarely come up in a first demo. Where is the data held? Which law governs the contract? Does your own app in the store cost extra? And what happens if the vendor gets acquired? Workplace customers found out in 2026 how quickly that last question becomes concrete.

Vendors such as Staffbase, Flip, Beekeeper and Haiilo publish no prices, and teamly also names its price only in a conversation. And “white label” often means no more than your logo inside the app, while your own store app is charged as an add-on or a premium tier, sometimes requiring your own Apple and Google developer accounts.

Checklist

7 questions you should put to every vendor

From more than 120 projects we know where selection processes go wrong. These seven questions surface the differences a demo does not mention.

    Does the app really reach every employee?

    Care workers don’t have a company email address, and drivers don’t have a company phone. Check how login actually works: Microsoft Teams and Viva Engage need an IT-provisioned account plus a licence for every single user. teamly works without a company email address and without a Microsoft account.

    Your own app, or the vendor’s app?

    For many vendors, “white label” just means your logo after login. A dedicated app in the store costs extra with Flip and needs your own Apple developer account, with Quiply it is only available on the Professional tier, and with LOLYO it is a paid add-on. Ask directly: whose name appears in the App Store, ours or yours?

    Where is your data held, and what does the contract say?

    Server location and contract law are two different questions. Beekeeper lets you choose between Switzerland, the EU and the US; Connecteam doesn’t name a location at all; LOLYO hosts in Frankfurt, but the contract runs under Austrian law. Your works council and data protection team will want answers to both.

    Which modules are actually included in the price?

    Shift planning, a knowledge base, training with read receipts: are these in the quote, or on the add-on list? Connecteam sells communication, operations and HR as three separate hubs. With Flip, HR Mini Apps cost extra per use case.

    What does it actually cost in the end?

    Staffbase, Flip, Beekeeper and Haiilo don’t publish prices, and neither does teamly. Market data points to annual contracts for Staffbase in the high five-figure US dollar range. Factor in setup fees, add-ons and support packages too: with Papershift, higher support tiers cost extra. Ask every vendor for the total cost over the full term, us included.

    Who supports you after go-live?

    A rollout rarely fails because of the technology, it usually fails because of the adoption. Check whether a dedicated point of contact is included in the price: with Staffbase, market data suggests the dedicated CSM is an add-on, with Workvivo you only get one on the Enterprise plan. At teamly it is part of every package.

    How stable is the vendor?

    Workplace from Meta was shut down on 1 June 2026, and all customer data was deleted. Beekeeper has been part of the LumApps group since 2025, and Workvivo has belonged to Zoom since 2023. Ask whose core business the employee app actually is, and who decides the roadmap.

Your own branded app for mid-sized companies

teamly builds a dedicated native app for every customer. Not as an add-on, but as the core of the product: your app appears under your own name in the app stores, in every package. Add to that news with read receipts, chat, a knowledge base, training modules and shift planning. Hosting is exclusively in German data centres certified to ISO 27001, and the contract runs under German law. Every account gets a dedicated Customer Success Manager, from kickoff into day-to-day operation. Go-live takes 3 to 6 months, because a dedicated app is developed, branded and taken through the app store review.

Staffbase

The enterprise suite from Chemnitz

Staffbase is the largest German vendor: a unicorn, more than 2,000 customers, over 400 branded apps in the stores. Alongside the employee app, the suite covers intranet, email and digital signage. EU customers are hosted in Frankfurt, certified to ISO 27001, SOC 2 and TISAX. The flip side: there is no public price list, market data points to typical annual contracts in the high five-figure US dollar range, and the dedicated CSM depends on the support package you book. If you are equipping a corporate group with a mixed workforce, this is the right place. For 200 employees the model is usually oversized.

Flip

Strong UX and AI, white label as an add-on

Flip, based in Stuttgart, has well-known references including EDEKA, Porsche and McDonald’s Germany, and is rightly seen as a UX benchmark. Since 2025 it has positioned itself heavily around AI features such as Ask AI and AI Agents. Hosting runs on Azure in Frankfurt and Berlin, and the data centre is certified to ISO 27001. Two points to plan for: your own app in the store sits under the optional add-ons on the pricing page and requires your own Apple and Google developer accounts. And extras such as absence management or shift plan display are booked as HR Mini Apps per use case.

Beekeeper

Frontline pioneer, part of LumApps since 2025

Beekeeper, based in Zurich, helped build the frontline market and scores with very strong auto-translation and a large integration ecosystem. Since July 2025 the company has been part of the LumApps group, backed by the private equity firm Bridgepoint; beekeeper.io now redirects to lumapps.com. Existing customers and prospects should actively clarify the roadmap and their point of contact. Prices are available on request only. Branded apps exist as an enterprise option, but sometimes appear under the developer Beekeeper AG rather than the customer’s name. Data residency is selectable: Switzerland, the EU or the US.

Strengths

Quiply

A fast start, from Cologne

Quiply has been around since 2015, with more than 400 customers and ratings around 4.7 out of 5. The vendor advertises go-live within 24 hours and a four-week free trial, hosted in Frankfurt in a data centre certified to ISO 27001. You need to understand the tier structure: the Essential tier uses the shared Quiply app with branding only after login, and requires at least 40 licences plus a setup fee. Your own app under your own name only comes with the more expensive Professional tier. There is no shift planning module; the Quiply blog points to third-party tools instead.

Haiilo

Social intranet with an advocacy module

Haiilo, which grew out of COYO, is one of the strongest social intranets in Europe and is itself certified to ISO 27001 and SOC 2 audited. Its employee advocacy module, which lets staff share content on social media, has no equivalent among the other vendors in this comparison. But the character stays intranet-first: strong on the desktop, mobile as an extension. The white-label app costs extra and, according to Haiilo’s documentation, is not regularly listed in the public App Store for iOS. Haiilo does not publish prices; all three packages go through individual quotes.

An affordable self-service entry, from Graz

LOLYO is the most transparent vendor in this comparison when it comes to price: a per-user price plus a monthly base fee, publicly visible, cancellable monthly, with a free trial period. Hosting is in Frankfurt. The gamification with MACH-MIT points is a genuine differentiator. Three things German companies should know: your own app in the store costs extra, and in the Plus package a separate setup fee. Contracts run under Austrian law with jurisdiction near Graz. And there is no dedicated Customer Success Manager, support runs through online help, a chatbot and a few hours of IT support.

Flip

Flip from Stuttgart is known for strong UX and AI features, with references such as EDEKA and Porsche.

Beekeeper

Since July 2025, Beekeeper has been merging with the intranet provider LumApps into the "AI Employee Hub", backed by the private equity firm Bridgepoint.

Microsoft Teams

Teams is a given in the office and, with F licenses, Shifts, and Walkie Talkie, it also has a frontline offering.

Haiilo

Haiilo (formerly COYO) from Hamburg is one of the strongest social intranets in Europe, with Employee Advocacy as a special feature.

Workplace from Meta

Since 1 June 2026, Workplace has been permanently offline, and all data has been deleted.

Workvivo

Workvivo has belonged to Zoom since 2023 and was Meta's recommended Workplace migration path.

Microsoft Viva Engage

Viva Engage is Microsoft's community layer and the Yammer successor, solid for licensed knowledge workers.

HUMANSTARSapp

HUMANSTARSapp is an established German provider with OMR awards, German hosting, and a public price list.

Conclusion

Which employee app suits whom?

There is no single app for everyone. A group with 20,000 employees, its own intranet team and an enterprise budget will be happy with Staffbase. If what you mainly want is a desktop intranet with an advocacy function, look at Haiilo. A ten-person business that wants to click its way through the software itself is better served by a self-service vendor such as Connecteam or LOLYO, because no dedicated app has to be built there.

teamly is built for the case in between, and in the German mid-market that is the most common one: 50 to 5,000 employees, many of them without a desk, a works council asking about server location and contract law, and the wish that the app store shows your own company name rather than a software vendor’s. For that you get a custom-built app, one named contact and the choice between buying and renting. Your own app in the store cannot be clicked together as a trial version, it is built for your company. What if we already use Microsoft Teams?
Microsoft Teams was built for office workers with a PC. Care workers, drivers or production staff fall through the gaps. teamly complements or replaces Teams for employees without a fixed desk.
Can we buy teamly outright instead of renting it?
Yes. teamly offers both models; among the 16 vendors we compared, we found no publicly offered purchase model (as of July 2026). Buying means a one-off investment and full control. Renting means flexibility, always up to date, and lower upfront capital.
How long does implementation take compared with other tools?
With teamly, expect 3 to 6 months to go-live for your own app, including development, branding, app store review and employee onboarding. Some platform vendors configure faster, but with teamly you get a custom-built app under your own name.
